This privacy and security statement outlines how your personal information will be used and sets out some of the security measures taken in order to protect your privacy.
In this privacy and security statement, “our”, “we” and “us” refer to Insurance Tailors Ltd.
Collection of information
Information is collected fairly and lawfully in accordance with the Data Protection Act 1998 (as amended and updated from time to time). We may collect personal information directly from you when you ask for a quote or as a result of the purchase of a product or service from us. We will do our best to ensure that your details are kept accurate and up to date and we would ask you to assist us in doing so by notifying us of any changes.
We are constantly striving to improve the quality of our service and the efficiency of our systems and so, from time to time, we may use your personal information to help us to do this.
Exchange of information
We exchange personal information with other approved organisations for underwriting and fraud prevention purposes and we may provide such information to others where required or permitted by law.
We may use and analyse your personal information for the following purposes:
- managing and administering products and services that we supply - this will include underwriting, reinsurance and claims handling purposes and may include disclosing your information to other insurers or regulatory authorities;
- considering any applications for products you may make and to help in making credit-related decisions about you where appropriate;
- financial risk assessment, money laundering checks, compliance and regulatory reporting and fraud prevention; and
- assisting in making decisions on insurance proposals, other products and any claims made by you, members of your household, and others connected with your insurance proposals and claims;
Your personal information will only be disclosed to a third party outside of Insurance Tailors Ltd if such third party has agreed to keep your personal information strictly confidential and use it only for the purpose for which we provide it to them and if any of the following is true:
- it is necessary for the performance of an agreement we have with you;
- you have given your consent to the disclosure;
- such disclosure is required or permitted by law;
- we are entitled to transfer rights and/or obligations as provided under the terms of any policy you may purchase;
- any such third party provides benefits or services to you under or in connection with our agreement with you; or
- it is a credit reference or fraud prevention agency.
In future, the way in which your personal information is viewed, recorded and used may change. In most cases these changes will result from enhancements in technology. Where we believe the changes may be to your disadvantage, we will give you at least 30 days notice of them by writing to you and posting a notice of amendment on the Site. If you continue to use a product or service for a further 60 days after notification we will consider that you have consented to that change unless you write to us to inform us otherwise.
How your personal information is used
Your “personal information” means any information that we obtain from you or third parties in connection with a service or product that we provided you with.
Insurance Tailors takes your privacy very seriously and will respect your personal information. Please read this privacy statement to see how we will use your personal information, whether it has been provided to us by telephone, in writing or through your use of this website.
If you purchase a particular product or service you will receive a hard copy of a specific policy document that is relevant to that product or service. It is also available on line and is accessible via the home page for each particular product. In the event of any conflict between the terms of this privacy statement and the terms of the specific privacy statement that applies to a particular product then the terms of the latter shall prevail.
You should show this document to anyone else who is covered by or party to any policies or services that you purchase from us. We may change this privacy statement from time to time. Any changes will take effect once the revised privacy statement is available on this website.
Use of personal information for marketing purposes
Unless you have told us otherwise, we may use your personal information for research purposes and to inform you by letter or telephone of other products or services we believe may interest you.
We may also contact you by email or other electronic media to notify you of other products or services we believe may interest you if you have consented to such contact. If you are contacted by such means we shall on each occasion ensure you will always be given the option to opt out of any further communication.
If you have provided your contact information to us and would prefer not to receive marketing information or to participate in research, simply contact us to let us know.
Dealing with other people
It is our policy to deal with your spouse or partner calling on your behalf (if named on the policy, where applicable). If at any time you would prefer us to deal only with you, please call to let us know.
If you would like someone else to be able to deal with your policy for you on a regular basis please let us know. In some exceptional circumstances we may also deal with other people who call us on your behalf, with your consent.
Please note that we will not reveal any credit or debit card numbers to anyone other than the policyholder.
Sensitive personal information
In order to provide you with some of our products or services, we may need to collect and process sensitive personal information (such as information regarding any criminal convictions you may hold or the state of your health) about you and others who may be a party to the product or service you wish to purchase. We will only use sensitive personal data for the specific purpose for which you provide it. Please ensure that you only provide us with sensitive information about other people with their express agreement.
Monitoring and recording of emails and telephone calls
We may record telephone calls for monitoring and training purposes and to assist us in preventing and detecting fraud. By using such communication methods you are consenting to this.
Preventing and detecting fraud
To prevent and detect fraud, we may do the following at any time.
Share information about you with other insurers and, where we are entitled to do so under the Data Protection Act 1998, the police and other law enforcement agencies
Pass your details to Insurance Hunter, a central insurance application and claims checking system, where it may be checked against information held by Insurance Hunter and shared with other insurers
Check your details with fraud prevention agencies and, if you give us false or inaccurate information and we suspect fraud, record this with the fraud prevention agency. We and other organisations may also use and search these records to:
- help make decisions about credit and credit-related services for you and members of your household
- help make decisions on motor, household and other insurance proposals and claims for you and members of your household;
- trace people who owe money, recover debt, prevent fraud and to manage your insurance policies;
- check your identity to prevent money laundering, unless you give us satisfactory proof of identity; and
- carry out credit searches and further fraud searches
Insurers pass information to the Claims and Underwriting Exchange Register (run by Insurance Database Services Limited). The aim is to help us to check the information you provide and also prevent fraudulent claims. When we deal with your request for insurance, we may search these registers. Under the conditions of your policy, you must tell us about any incident (such as an accident or theft) which may or may not give rise to a claim. When you tell us about an incident, we will pass information relating to it to the registers.
Credit reference agencies
In processing any application you may make for credit, we may contact credit reference agencies who will record any such enquiry. They may supply us with credit information, including information from the electoral register. If we provide you with credit, we will provide details of your account and how you manage it to credit reference agencies. If you fail to make any repayments in full and on time, we may tell credit reference agencies, who will keep a record of any outstanding debt.
If you or other members of your household apply for credit, insurance, or other financial services then Insurance Tailors, other credit providers and other insurance companies may use search records and any other information provided to credit reference agencies for occasional debt tracing, claims assessment and fraud prevention purposes. Insurance Tailors, credit reference agencies and fraud prevention agencies will also use the records for statistical analysis.
Please note that we do not hold a copy of your credit reference records. These are held by credit reference agencies. You have a right to access this information and we are happy to supply the names and addresses of the agencies we use on request.
An association between joint applicants and/or any individual identified as your financial partner will be created at credit reference agencies, which will link your financial records. You and anyone else with whom you have a financial link understand and agree that each other's information will be taken into account in future applications by either or both of you. This linking will continue until one of you successfully files a “disassociation” with credit reference agencies.
Data storage security
Any saved personal information is held confidentially and safely by us with security systems to prevent unauthorised access.
We take security very seriously and we use one of the strongest available security systems to protect your communications with us. Whenever you fill in an online form, such as a request for a quote, it is automatically protected using something called a Secure Socket Layer (“SSL”) between your computer and ours. SSL works in the following ways:
It prevents impersonation - you can tell that you are using a genuine SSL site by the padlock symbol at the bottom of the screen. Clicking on either the padlock or the image opposite will reveal our Registration Certificate that is issued by Verisign, a leading Internet security company.
It encrypts data - as soon as your computer has recognised our computer they encrypt all information that is passed between them. Data encryption means that no one else can read or change your information as it travels over the internet.
It prevents scrambling - SSL uses a Message Authentication Code to prevent anyone tampering with the Site. Your computer will always check this code before it takes a message from us. This means that if anyone tried to interfere with a message, your computer would not recognise the code and would alert you.
We are aware that there are two minor problems with Microsoft Internet Explorer. Neither problem has any effect on the actual security in force on the Site, but may make it appear to you as if it is not fully secure. Internet Explorer 5: If you click on the padlock symbol to view the security certificate the following message may be displayed: "This certificate has failed to verify for all of its intended purposes". Log-in security
We would like to remind you to keep any log-in details, passwords or security IDs you have secure at all times. Security details should only be entered on our secure website. We may use email to direct you to a secure log-in page on the Site or, where consent is given, to inform you of other products, but we will never ask you to reveal or send your security details to us via email.
Please be on your guard for suspicious emails. If you do receive an email asking you to submit account or security details (such as a credit card number, password or PIN) or if you are suspicious in any way of any communication you are asked to provide over the internet in connection with Insurance Tailors, please do not respond to it and contact us as soon as possible.
